Import a Project from BOEMax

Prerequisites

  • The project must already exist in BOEMax to be able to import the data into EVMax.
  • Recommend verifying the BOEMax project specific or global resource structure includes resource role assignments for the detail level resources. Any resource roles not already defined in EVMax are added to the list of resource roles in EVMax. Resource role assignments are required should you want to do cross-project resource capacity and demand analysis. See Enterprise Nodal Structure.
  • When the BOEMax project you want to import includes bills of material (BOMs) recommend verifying the BOMs are complete and up to date as they are included in the import process. Importing the BOM data also automatically updates the master parts and assemblies list in EVMax.

  1. Select Project Data > Projects in the Navigation Menu. The Manage Projects tab window displays.
  2. Click Import in the Ribbon Menu and then click From BOEMax. A separate Import From BOEMax window displays.
  3. Select the Project you want to copy from the dropdown. The data from the project populates the rows in the window. At a minimum, this includes the assigned account structures (WBS) and project structures (calendar, rates, and resources). It may also include user defined code structures and account or work package documents for the project. There are four columns in the window: Select, From, To, and Action.
  4. Optional. Any items with a Select column check box enabled can be checked or unchecked to control what is copied into the new project. For any enabled Select column check box, click to deselect content you don't want to copy.
  5. The Action column is already set to "Create New." Either accept the default names copied from BOEMax or rename each selected item in the To column.

    Tips:

When the project you are importing is using global calendar, rate, and resource structures and you want the new project to also use the global structures, accept the default "Overwrite" setting in the Action column. If you want to create project unique calendar, rate, and resource structures using the data from the global structures, enter a new name in the To column for all three structures.

The same rule applies to any user defined global code structures created in BOEMax. When the global code structure doesn't exist, in EVMax, the Action column is set to "Create New." This copies the global code structure into EVMax. When the global code structure already exists in EVMax, the Action column is set to "Overwrite." If you want the new project to also use the global code structure, accept the default "Overwrite" setting. Otherwise, enter a new name in the To column for the code structure.

  6. At the bottom of the Import From BOEMax window there is a Historical Data? check box. By default it is checked. In most instances, this is fine because you are creating a new project in EVMax and the current period hasn't been set. You are simply importing the entire set of project data including the time phased cost estimate data which becomes the budget data in EVMax.
  7. Click Import. A status bar displays the import progress and disappears.
  8. Click Refresh in the Ribbon Menu.
  9. Click on the Structure [Select] dropdown in the Ribbon Menu and select the project you just created.

What to Do Next

  • Be sure to generate the Earned, Actual, and Forecast (estimate to complete) cost codes for the new project in EVMax once you have imported the data from BOEMax. See Generate Project Cost Codes.
